Get results in days, not monthsResults in days, not monthsAn inquiry from a person worried about their family's future is not a lead in the sense most sales teams use the word. It is a request for help from someone who may be afraid, who may be speaking in a second language and who is probably comparing several offices. The firms that earn more retained matters are rarely the ones with the biggest ad budgets. They are the ones that respond quickly, speak the client's language, explain what comes next and treat the first contact as part of the service. This guide covers where inquiries come from, what qualifies one, how to handle speed and language, where marketplaces fit or do not and what we measure. Plans start at $495 a month, with nothing due up front.
A definition
For an immigration practice, a qualified inquiry has several traits. It involves a matter type your firm handles. It falls within the places and languages you can serve. It reaches you when you have capacity. The person is ready to talk about their situation, even if not ready to retain. And the matter has no conflict with a current or former client. None of these says anything about whether the case will succeed, and the firm should never promise or imply that.
Notice what is missing: a minimum budget or a perfect fit. Many valuable clients arrive confused about which category they belong in. The consultation exists to sort that out. Marketing's job is to bring the right kind of conversation to your office and to filter out the clearly mismatched ones, such as people who want a government form, who want free help or who have a matter you do not take.
Defining qualified in writing, with your intake team, is the single most useful exercise before changing any campaign. It tells the people who answer the phone what to ask, it tells the reports what to count and it keeps the marketing honest.
Sources
| Source | Typical quality | Control you have | Rule or risk to check |
|---|---|---|---|
| Past clients and their families | High trust, often several relatives | Medium | Ask about rules for client communications and any referral gifts. |
| Community partners and nonprofits | High trust, varied fit | Medium | No payment for referrals; follow your bar and the partner policy. |
| Organic search and the map | Mixed, steady over time | High | Advertising rules apply to pages and profile text. |
| Paid search | Fast, depends on setup | High | Platform policies for government-related services; ad wording rules. |
| Paid social and message ads | Lower intent, good for reminders | High | Policy for social issues; privacy for retargeting. |
| Lawyer referral services | Varied | Low | Fees and approvals differ; check before joining. |
| Lead marketplaces and call brokers | Often shared with other firms | Low | Possible referral-fee and solicitation issues; unclear who the caller thinks they are speaking to. |
| Cold outreach and unsolicited contact | Poor and risky | Medium | Solicitation rules are strict in many places; avoid. |
Our position
We do not sell leads, buy them, resell calls or broker referrals. Lead marketplaces can blur who the client is speaking to, share a single inquiry among several firms and sometimes involve payments that your bar may treat as an improper fee for a recommendation. For a field built on trust, those are poor foundations.
Instead we help you build channels that belong to your firm: search pages, a verified profile, ads in your own account, references you earned and a website that explains you well. The data belongs to you, the phone numbers point at your office and a client who calls knows exactly who they reached.
Speed and language
Calls should reach someone trained for your case types, with a plan for after hours.
A greeting in both languages, and a short line that tells a caller who to press or what to say to reach a speaker of theirs.
A first reply that acknowledges the message, says who will call and when, and asks only for what is needed to schedule.
Collect the minimum information to check for conflicts and avoid discussing facts until it is done.
A booking link or a call back window, with both phone and video options.
A confirmation and a reminder in the client's language, with what to bring and how to connect.
A short summary of next steps and the fee information that your rules require, sent promptly.
Intake design
Consistent and kind
Ask the matter type, the preferred language, a safe way to reach them and the best time to talk, then explain the next step.
More than politeness
Callers may be reluctant to explain. Let them stop when they want, and do not press for details.
Prevents confusion
Explain that the first meeting is for the attorney to learn the facts and talk about options, and that no result can be promised.
Reduces drop-off
State what the consultation costs, if anything, and how the firm generally charges, as your rules permit.
Protects people and the firm
Know who takes calls about detention or imminent hearings, and what to say when you cannot help.
Honest and helpful
When a caller needs something you do not handle, give general information about how to find qualified help, and check your referral rules.
These choices connect to the contact path on your website and to the way search ads schedule around your staff.
The funnel
| Stage | Question | Where the data comes from |
|---|---|---|
| Inquiry | How many calls, texts and forms arrived, from which source? | Call tracking and form source fields |
| Reached | How many were answered by a person within a set time? | Phone and message logs |
| Qualified | How many fit the written definition? | Intake notes |
| Consulted | How many booked and attended? | Calendar and attendance notes |
| Retained | How many became clients? | Case management system |
| Language and matter | Which languages and case types converted best? | Intake note fields |
Never record case facts in marketing tools. Use categories such as matter family and language, and keep details inside your protected case system.
Capacity
The most expensive leads are the ones nobody can handle. An office that doubles its inquiries without growing its intake capacity will lose both the new people and some existing ones. Before you expand a campaign, ask what happens at ten calls a day and at twenty. If the answer is voicemail, fix the answer first.
Policy news can create sudden spikes. A written plan for those days, who answers, who can pause ads, what the website banner says, which pages are updated, turns a stressful week into an orderly one. We help you set the thresholds and put the plan in a short document your team can follow.
Referral partners
Most clients of an immigration lawyer arrive through someone they trust, and the strongest lead source is the one that costs nothing in fees: a satisfied family, a neighboring business, a nonprofit caseworker, a colleague in another practice area. Treat those relationships as accounts to tend. Send a short thank-you after an introduction, keep the partner informed about what the firm can and cannot take, and share a one-page guide they can hand to someone who asks. Never pay for referrals or give gifts of value in exchange, and check your bar's rules before offering anything, even a modest meal.
Online, make it easy for a referred person to find you: a page that says "referred by a friend or partner?" with the same phone and booking options, in both languages, and a note that says the referral stays private unless the person chooses to share it.
Follow-up
| Situation | Sensible follow-up | Caution |
|---|---|---|
| Consulted but wants time | A short thank-you and a reminder of how to reach the firm | Do not pressure; respect a request to stop. |
| Matter you do not handle | General information about how to find qualified help | Check your referral rules before naming anyone. |
| Booked but did not attend | One message in their language offering a new time | Keep it brief and private; avoid case details in text. |
| Not ready until a later date | A note at a time they chose | Use only the channel they approved. |
Follow-up to people who asked to hear from you is ordinary service. Contact with people who did not ask can be regulated as solicitation in your state.
The investment
Inquiry questions
It depends on which channels you own. Landing pages are $495 a month, managed ads begin at $895 and Organic Growth begins at $1,495. Ad budgets are separate and nothing is due up front.
By owning the channels: pages that answer real questions, an accurate profile, ads in your own account, honest references and a fast, bilingual intake path. The inquiries come to your phone number, not a broker's.
No. We do not sell leads or broker referrals. We build channels your firm owns.
Use a clear callback promise, a form and, if you need coverage, an answering partner trained on your case types. We can discuss what to look for.
Collect only the minimum needed for a conflict check before discussing facts, and follow your firm's procedures and bar guidance.
Check your bar's guidance and the terms of the tool. Many firms use it for scheduling and general contact, and move case details to a secure method.
We do not evaluate or recommend lead marketplaces. If you consider one, bring the agreement to your bar or an ethics counsel first.
